Whenever possible, Shady Ladies Tours provides opportunities for our guests to pursue their own interests by ensuring that there are free afternoons and evenings during our tours. We pride ourselves on our attentive and personal service, and we are always available to make recommendations for activities during your free time—from choosing restaurants, to recommending museums, to helping you to select an evening’s entertainment. It goes without saying that we will also make all reservations on your behalf if you so desire, at no extra cost to you.
Standard Terms and Conditions
Payment: Unless otherwise specified, a deposit of $1000 is required at time of booking, and payment in full is required 90 days before travel. Late payments and returned checks are subject to a $50 fee per person. Late payments may cause cancellation of your booking, and charges will apply.
Travel Documents: Valid passport is required for international travel, and valid government issued photo ID is required for domestic air travel. Visas in advance of travel are required for travel to certain countries. Contact the foreign embassy for details. Passport and Visa and other documentation is your responsibility. No refunds can be offered to individuals without required documents.
Transportation: Unless noted otherwise, our tours are “land only” programs. Your trip begins at the first hotel and ends at the last hotel. You are responsible for arranging air or land travel between your home and these hotels. This is at your expense.
Cancellation and refunds: If you must cancel a reservation, we will refund your payments except for a cancellation fee, which is based on how many days before the departure date you cancel. All cancellations must be in writing and are effective on the first normal business day (Mon-Fri, 9am-5pm EST) after they are received by mail or fax in our office. We will give you a cancellation number; please record this number to verify that your cancellation was received. For reservations that do not include air transportation, the fee is:
- 120 or more days: $100
- 90-120 days: 50% of Deposit
- < 90 days: 100% of paid funds
For cancellations made closer than 90 days to starting date, there is no refund, but if you have paid in full, we will issue a partial credit (good for 18 months from the date of cancellation) for the amount indicated below. If you have not paid in full, there is no credit or refund.
- 30-90 days: We will issue credit for 50% of payments received, if you have paid for full trip.
- Within 30 days or No-shows: No credit or refund.
Cancellation or Amendment by Us:
If there is insufficient demand for a particular tour at any time up to the balance due date, we reserve the right to cancel the tour and offer you the choice of option (i) or (ii) below. No compensation or refund of any expenses you have incurred will be payable in these circumstances. We recommend that you wait to confirm flights until the date when your final tour payment is due in order to avoid the possibility of an airline fee if any change is required. We will not cancel your tour after the balance due date unless we are forced to do so as a result of circumstances outside our control (force majeure), or where you have failed to comply with any requirement of these Terms and Conditions entitling us to cancel, such as paying on time.
(i) We may be able to offer you a tour of equivalent standard for which you will not be asked to pay any more than the cost of the original tour. If the alternate is less expensive than the original tour, we will refund the difference.
(ii) You may decline the change, cancel your booking, and we will issue a full refund to you.
Restrictions, Limitations and Exclusions: If your package includes any deviations, special arrangements, non-refundable air or rail tickets, these are not covered by the refund policy and are not refundable or transferable. More restrictions, limitations and exclusions apply from the insurance company. Airline Tickets: Be aware that departure/arrival times and gateway/ connection/departure/arrival cities are subject to change. We are not responsible for any charges or claims due to such changes.
Baggage: Shady Ladies Tours is not responsible for and does not assume liability or accept claims for loss or damage to bags due to breakage, theft, wear and tear by the hotel, airline, bus or others who may handle your bags.
Note: Changes may be made to the order of events, and Shady Ladies Tours is not responsible for personal arrangements affected, including possible additional costs due to the cancellation of optional deviations that you arrange with or without our involvement. Occasionally it may be necessary to change a hotel from that listed in the itinerary. A change of hotel to one of similar quality is not deemed a significant change that would result in a price adjustment or refund.
Twin Share: Prices are quoted per person/double occupancy. If you are traveling alone the price will increase by a single supplement. At your request for double occupancy we will try to match you with another single. Of course we can neither guarantee nor assume responsibility for compatibility with your roommate.
Disabilities: We try to accommodate all needs. If you have a disability and require assistance when traveling, notify us at time of booking. Note that ADA applies to US domestic providers only.
Many of our tours require a lot of walking. We will of course attempt to accommodate any passenger who cannot keep up, but we cannot guarantee that they will see everything listed in the itinerary. We cannot give a refund for element(s) of the tour package that are not used.
CONSUMER DISCLOSURE NOTICE: Please read the terms and conditions carefully, as your deposit payment on a trip signifies acceptance of the Terms and Conditions and the general information contained in the brochure. These trips are arranged by Lear Travel LLC dba Shady Ladies Tours. It has made the travel arrangements as agent for the transportation carriers and other suppliers (SUPS) of services connected with the tour, all of which are independent contractors. Shady Ladies Tours in no way owns or operates the vehicles or facilities to be used during the trip and does not guarantee performance by or assume responsibility for the acts and/or omissions of SUPS, their employees, agents, etc. All bookings are accepted subject to the conditions imposed by SUPS and Shady Ladies Tours, including, but not limited to, the airlines, cruise lines, rail, coach, hotels, restaurants, travel protection and other companies, firms or persons concerned with the trip. Shady Ladies Tours will make no refund in the event of their delay, cancellations, overbooking, strike, or for problems caused by force majeure or for elements of the package not used by customer. If there is a difference between Shady Ladies Tours’ conditions and those published by a SUP, the conditions of SUP shall apply. Price quoted is per person double occupancy. Shady Ladies Tours reserves the right to cancel a trip, change the itinerary or adjust rates whenever in its sole judgment conditions warrant, or if Shady Ladies Tours deems it necessary for your comfort, convenience or safety. Shady Ladies Tours reserves the right to correct an error in the advertised price prior to your departure. Trips outside the USA require a valid U.S. passport. You are responsible for and release Shady Ladies Tours from passport, visa, vaccination requirements and safety conditions in travel destinations. Shady Ladies Tours recommends you purchase a travel protection plan that includes coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more. A contract is made when your reservation and payment are accepted by Shady Ladies Tours in its home office in Massachusetts, and any disputes shall be governed by Massachusetts law and are subject to exclusive jurisdiction and venue in Middlesex County, Massachusetts. In calculating the cost of your trip, Shady Ladies Tours has relied on your consent to these terms, and in the absence of this release, the trip cost would have been higher.
